KEY ADMINISTRATORS/KEY SUPPORT STAFF (excluding UCSD Healthcare)

SUBJECT:  Holiday Schedule December 21, 2002 through January 1, 2003

Administrative holidays this year will be Tuesday, December 24; Wednesday, December 25; Tuesday, December 31; and Wednesday, January 1. Therefore, we will have four working days during the period December 21 through January 1.

UCSD departments and units that wish to be closed for all or a portion of the holiday period, which begins at the end of the work day on Friday, December 20, 2002 and concludes at the beginning of the work day on Thursday, January 2, 2003, may request approval to do so. Department Heads' requests for closure must be submitted to the cognizant Vice Chancellor or Director for prior approval. Department Heads are encouraged to discuss the feasibility of an eight-day (December 23 through January 1) closing with departmental employees. The following guidelines should be considered in determining whether to close an office:

1. Departments must maintain adequate staffing levels to conduct necessary business or provide essential services.

2. December 23, 26, 27 and 30 are scheduled working days. Therefore, if departments are authorized to be closed during those days, staff employees must charge the time off to accrued vacation, accrued compensatory time off (non-exempt employees only), or voluntary leave without pay. Academic employees on fiscal year (11-month) appointments must charge the time off to accrued vacation or voluntary leave without pay.

Requests for holiday closure should state: (a) the disposition of work and services that would normally be performed, and (b) the arrangements that have been agreed to by departmental employees, including employees who have indicated that they wish to work during the closure.

Questions pertaining to the status of employees during a proposed departmental closing should be directed to the appropriate Employee Relations Specialist in the Human Resources Department or to the Academic Personnel Office.
