SUBJECT:  Equipment Management policy changes- Freight and Accessories

This notice reflects important updated information about policies affecting the value of inventorial (capitalized) equipment. Effective July 1, 2003

* Freight charges will be added to the value of items defined as equipment
* The threshold for accessories to existing equipment will be $1500

Freight: UCSD will add freight cost to a piece of inventorial (capitalized) equipment when the cost can be substantiated by a freight bill related to a valid purchase order, or by the inclusion on a vendors invoice.

Accessories: The dollar threshold for accessories added to inventorial (capitalized) equipment will increase to $1,500.00. Accessories or component parts with a cost of $1,500 or greater which permanently increase the value or useful life of University-owned property (as identified by a property number) will be added to the value of that unit as capital transactions.

Note: Equipment upgrades valued at less than $1500 will be expensed as non-capital transactions. Repair components, regardless of cost, will also be expensed as non-capital items.

These changes are being made to bring UCSD practice into conformance with University policy, "Control of University Equipment", Business and Finance Bulletin (BUS) 29, Section B and H, which can be viewed at:
