KEY ADMINISTRATORS/KEY SUPPORT STAFF (including UCSD Healthcare)

SUBJECT:    Queries Available for Academic Personnel Data

Academic Personnel Services (APS) has made academic personnel data available to campus departments and divisions.

Working with Administrative Computing and Telecommunications (ACT), Academic Personnel has developed three QueryLink products. These queries provide authorized users access to historical academic personnel data. For more information about the products, please see http://blink.ucsd.edu/go/acadpersquery.

The three queries presently available are:

1) Academic Personnel Next Review Due

This query tool provides a snapshot of the expected review dates for current academic employees. As academic review files are processed, this data will change.

This query can provide:

* a list of academic employees expected to be due for academic review in a
   specified year for a specified department or division

* expected next-review dates for specified academic employees

2) Academic Personnel History

This query tool provides results of academic reviews for current and former academics. As academic review files are processed, this data will change. Information such as deferred start dates, regularizations, and transitions due to title and scale changes is included; the salary history does not reflect range-adjustment increases.

This query can provide:

* appointment and review history for academic employees

* a list of academic employees currently holding a certain academic title

3) Academic Personnel Sabbatical Credit Accrual

This query tool provides a snapshot of the sabbatical credits earned by current academic employees. The available number of credits and the date through which the credits were calculated is provided. This "Credits Calculated Date" lets one know that:

* All activity affecting the accrual of sabbatical credits, as well as
   credit usage, is accounted for through this date

* There has been no sabbatical credit usage recorded since this date (i.e.,
   no sabbatical leave has been taken and no sabbatical credits have been
   forfeited)

* If no date is reflected, the academic appointment began after 06/30/2001
   and the employee has neither used nor forfeited any sabbatical leave credits

This query can provide:

* sabbatical credit balance for a specific employee as of the end of the
   last sabbatical

* sabbatical credit balances for all employees in a department

These queries are also available via the Queries sections of EmployeeLink and DataLink.

It is important to note that review and appointment data extending back to approximately 1995 are available in the Data Warehouse and that the salaries represented are not annually range adjusted. Authorized users may view the range-adjusted salary history by using the Employee Queries in the Data Warehouse.
