MAIL SERVICES DIVISION
November 18, 2010
The current recharge rates for mail processing and delivery have not changed for the last five years. In spite of staff reductions, elimination of non-essential services and proactive cost containment, the cost of operations at Mail Services has not been covered by the recharge funding generated by our current rate structure. This has primarily been due to increased labor rates and the continuing growth of the campus. We regret that we have no alternative to raising recharge rates for our services.
We are delaying implementation of the new rate structure until January 1, 2011 to provide some time for each department to determine which level of service would be most effective for its business, in light of the rate changes below. In addition, recharges will appear on operating ledgers early in the month, rather than towards the end of the month. This will allow time to review those transactions and make any desired changes in the level of service before the next month begins.
The following are the monthly rates that will be effective January 1, 2011:
PROCESSING BY MAIL SERVICES AND PICKUP BY THE DEPARTMENT
- New Rate-- $50. (Old rate, $60) The pick-up location is at Mail Services at the Campus Services Complex at the corner of Voigt Dr./Gilman Dr. Pick-up hours are 9:00 a.m. to 11:30 a.m.
- New Option/Rates-- $57/$60/$65. The pick-up location is at the Postal Center in the Price Center and the rate depends on the size of the mail box. Pick-up hours are the same as the Price Center posted building hours.
MAIL PROCESSING AND DELIVERY TO THE DEPARTMENT
- 1 Delivery/Pickup per day - $85 (old rate, $60).
- 2 Deliveries/Pickups per day - $165 (old rate, $115).
- 3 Deliveries per day - $245 (old rate, $170).
- Off Campus - $110.
To determine if your mail code is off campus, please review the mandatory mail code list at: http://blink.ucsd.edu/go/mailcodeaffiliates
For one delivery per day on campus, the delivery time will be from 8:00 a.m. to 11:30 a.m. If you have two deliveries per day, the second delivery will be between 12:00 p.m. and 2:30 p.m. Any second delivery required after 2:30 p.m. must be charged as if it is a third delivery ($245). The third delivery will be between 2:30 p.m. and 3:30 p.m. This schedule ensures that letters and packages are ready for the carriers (USPS, FedEx and UPS).
We encourage each department to have someone available during the times listed above to accept deliveries and to have outgoing mail and inter-campus mail separated and ready for pick-up. Any packages or large items for pick-up should be clearly marked for the type of service requested along with a proper index number.
To review the delivery options or to access the form to establish, change or delete a mail code, please refer to http://blink.ucsd.edu/go/mailcodechange
Each location on campus will pay a very reasonable average cost of between $2.25 and about $11.00 a day, depending on the level of service needed. The Mail Services team pledges to continue to seek new and innovative methods of processing mail, while trying to keep the cost of mail services as low as possible. If you have any questions or concerns, please contact Fred Gomez at MailServices@ucsd.edu.
