SUBJECT:    Online FERPA Course Requirement

In an effort to protect the privacy of and access to student records in a manner consistent with applicable laws, regulations and University of California policies, as well as security concerns for keeping student records safe from disclosure, the Office of the Registrar has developed an online Family Educational Rights and Privacy Act (FERPA) training course. At the direction of the Enabling Infrastructure for Data and Analytics Committee, this important training will be required for all faculty and staff before new or continued electronic access is granted to all forms of student records, including ISIS, TritonEd, Blink Instruction tools, and the Data Warehouse.

The online FERPA course will be available via the UC Learning Center (https://a4.ucsd.edu/tritON/Authn/UserPassword) and a certificate of completion will be issued at the end of the course. Faculty and staff will present their certificates as proof of completion to their Department Security Administrators (DSA) for provisioning access to student record systems. The requirement must be completed before access is granted.

Training is available immediately via the UC Learning Center (https://a4.ucsd.edu /tritON/Authn/UserPassword).

ˇ This training requirement will be launched for new employees as part of the On-boarding Project effective February 14, 2017

ˇ Current faculty and staff with student data access will be required to complete the online course by November 1, 2017.

All faculty and staff with access to student records will be required to complete the online course every three years in order to renew their access.

The Enabling Infrastructure for Data and Analytics Committee has determined that this requirement is in line with similar requirements at other UC campuses and other institutions of higher education and is similar to required UC training for Cyber Security Awareness and Sexual Violence and Sexual Harassment Prevention.
