The Chancellor has assigned responsibility for coordination of
the Records Management Program at UCSD to Policy & Records Administration. The Records
Management Coordinators are responsible for the development, coordination,
implementation, and management of the Program. Implementation includes
providing advice, information, and training, as necessary, to the campus community on records management. This also includes the development and maintenance of retention schedules specific to UCSD, conveying campus concerns
and issues to the Systemwide Committee, and reporting periodically on the status
of the program. |
RECORDS MANAGEMENT PROGRAM

UC Business and Finance Bulletin RMP-1, University Records Management Program,has been revised. It is the
first product of a project to update and reorganize the entire Records
Management and Privacy (RMP) series of bulletins. It updates language,
position titles, and responsibilities. It also emphasizes the applicability
of the records management program to records stored on all types of
media. The terms "record proprietor" and "record custodian" have
replaced the use of "office of record." See the Link under References
to review the issuance in its entirety. |
Mission:

| In keeping with sound business practices, UCSD creates, gathers, and maintains operational and historic records of its activities. The University has established the Records Management Program to ensure that University records are appropriately created, managed and preserved, and are retrievable when needed. The program provides guidelines for the retention and management of university records and disposition of records when they are no longer pertinent to University operations or do not have historic value.
The Records Management Program develops and evaluates records disposition schedules for both paper and electronic records systems. We work with and advise campus representatives on a wide range of records related issues including vital records, forms development, records systems design and implementation, and review of adequate controls to comply with legal and regulatory requirements. |
Program Objectives:
To promote sound, efficient, and economical records management to meet operational, legal, and regulatory needs and other requirements in the following areas: |
- Creation, organization of, and access to records.
Maintenance and retention of administrative records.
Security and privacy of records consistent with federal and state laws and regulations and University policy.
Protection of records vital to the University.
Preservation of records of historical importance.
Disposition of University Records when they are no longer serve their purpose.
