Basic Elements of Records Management

Intended for those who wish to learn how to better manage the information that flows through an office and the importance of maintaining and protecting that information. Individuals will learn to identify "office of record" and determine who is responsible for retention. Participants who need to learn how to evaluate records for retention, for archival/historical value, or for destruction will find this class particularly useful.

Participants will gain a new level of understanding and learn practical everyday techniques to take to the office on the following topics.

Confidentiality of Records: Privacy, Access, and the Law

Intended for anyone who collects, maintains, or may be asked to release student or university records or information of a personal or confidential nature. You will become aware of the campus policies and regulations relating to the administration of student and other UCSD files and records, become familiar with applicable laws, and know who to contact for help. The class will also clarify under what conditions records can be released.


Basic Elements of Filing Systems

Intended for individuals who want to learn the concepts and procedures for creating a sound records filing system using any media that is available. Participants will learn all the different options available today in storage media and gain a strong understanding of how to set up and manage a filing system. Participants will learn practical concepts for managing records, creating filing systems, and understanding of the options available today. Participants will learn techniques and procedures on the following topics.

Paper based filing systems
Alphabetic, numerical, and terminal digit systems
Film based filing systems
Imaging or electronic based systems
