SUBJECT: Fabrication Contacts for Equipment Asset Tracking
A new Equipment Asset Management Systems (EAMS) will be implemented during the next few months which will replace the outdated, labor intensive mainframe system currently in use by Equipment Management. Ultimately, campus customers who are responsible for the administration of equipment assets will benefit from improvements being developed in the new system. We are very excited about the possibility that in the near future, after appropriate training, each department will be able to access and update the equipment management record directly.
In the intervening time, we need your help. In implementing the basic system now, it is imperative that each department or custodial code assign a single contact for all matters associated with fabrications, (FABS).
Currently, when a FAB is established by a department, a FAB number and departmental contact person is assigned. There are no limits to how many FAB contacts exist per department. The EAMS FABS process will be handled in much the same manner, however, it will be necessary to limit the number of FAB contacts to one (1) per department custodial code.
In order to streamline the conversion of the system to EAMS, we request each departmental MSO designate one person per custodial code as the contact point for all FABS. Any communication regarding FAB activity will be directed to this single contact. If a contact is not assigned, Equipment Management staff will temporarily assign the MSO to this duty until notified of the correct contact person.
We request that this designation be communicated to Equipment Management staff by 2/28/95 by electronic mail, (nlyons@ucsd.edu), written form, (mail code 0914), or phone extension 42845. This correspondence should list the pertinent custodial code, department contact name, phone number and mail code.
We apologize for the short notice of this request and express our sincere appreciation for your efforts in getting this information to us. Should you have any questions regarding this change in FAB processing, please do not hesitate to contact either Nancy Lyons, extension 42846 or Bessie Douglas, extension 42847.
