SUBJECT:    Express Card Manager (ECManager)

We are pleased to announce that the ECManager (Express Card Manager) is now available on the web for use by faculty and staff for managing Express Card (UCSD's procurement card) activity and transactions. Administrative Computing and Telecommunications (ACT) and Business and Financial Services (BFS) have developed the ECManager along with participation from campus departments.

The Express Card, a Visa procurement card, is widely accepted by vendors combining ordering and paying into a single process. The ECManager provides much greater flexibility and ease for managing procurement card activity both improving and adding new accountability. ECManager features include:

* email notification of card activity
* web-based card administration to add, change and delete accounts
* assignment of index/account code for future activity
* query tools for card and transaction activity
* redistribution of transactions-split fund or change the accounting distribution
* role based system with single sign on
* operating ledger now shows merchant's name rather than the bank's
* automatic use tax calculation

ECManager is being implemented in two phases.

June 1, 2004

Card management--for adding, changing, and deleting Express Card accounts with automated email notifications to the program team, department administrators, transaction reviewers and cardholders. Please note that designated Express Card Department Administrators have already been sent additional more detailed information from the Express Card Team.

July 6, 2004

Transaction management--for redistributing and/or splitting transactions to multiple indexes and accounts prior to posting with automatic email notification of all purchases being sent to department administrators, transaction reviewers, and cardholders.
