I write to request your assistance during this unusual time with regard to charitable gifts that may come directly to your areas. Please review the information below and forward this message to all personnel including faculty in your areas that may receive charitable gift mail or information during the holiday closure.
This notice contains important information to assist campus departments with contact information, as well as the proper handling of calendar year-end gifts made to UC San Diego, many of which may be received during the holidays and immediately after the campus reopens. This is a matter of economic consequence to our donors, as there are IRS regulations that must be complied with.
Due to the pandemic, we realize that many administrative and financial staff members are working remotely. We assume and hope that all units have an assigned team member to review and handle their incoming mail on a regular basis. Prior to the upcoming holiday closure, we ask that all gifts received by departments be sent via campus mail to Gift Services, mail code 0940. If necessary, arrangements can be made for delivery to the Gift Services Office at 3333 Torrey Pines Center Court, Suite 200 (Second Floor) by contacting us at (858) 534-5289 or (858) 534-8159. Please leave a message and we will return your call.
The IRS requires that charities be able to produce documented evidence that donors relinquished possession of their gifts to the charity on or before December 31, 2020. Upon returning in January to collect the mail, please request that staff retain and attach the gift envelope bearing a postmark on or before December 31, 2020. To ensure timely receipting and donor acknowledgment, all calendar year-end gifts to be receipted with a December 2020 date need to be in the campus mail to Gift Services by the close of business on Wednesday, January 13, 2021.
For our donor’s convenience, the UC San Diego giving site can be accessed at any time day or night at: https://giveto.ucsd.edu/. During the holiday closure, many Development Officers and certain Gift Services and Foundation personnel will be checking voice mail and email throughout to ensure that gifts can be received as necessary that otherwise cannot be given online, or handled via US mail.
