Update on Financial Information System Go-Live

The close of our fiscal year 2020 and the conversion of carry forward fund balances into our new financial system this past week marks another significant milestone in our Financial Information System Go-Live. Starting balances are now available in the Oracle General Ledger (GL) and the Project Portfolio Management (PPM) modules.
We recognize the importance of having timely and accurate financial information, and we appreciate the current work by Fund Managers and Shared Services Providers to review, reconcile, and make necessary adjustments before producing updated financial reports. 
We want to take this opportunity to thank our community for continuing to learn new systems and processes, supporting one another through the transition, and managing to maintain our core mission through the pandemic. 
As expected in a major financial system implementation, our cross-functional team continues to respond to transitional issues as quickly as possible.

Hypercare and Fiscal Year close - During fiscal year close, several support staff were redirected to support a uniquely specialized, final close out of our legacy financial system and data validation. As a result, we experienced an increase in Services & Support case backlog, affecting response times to our departments. Temporary overtime and staffing were authorized to mitigate. We appreciate your patience, and thank you for your understanding.
Metrics for Budget & Finance related cases from June-July 2020:
  • Approximately 1,000 cases per week received from the campus community
  • 87% closed same day, 95% closed within 2 days
  • 139 support staff dedicated to providing departmental support
Expense and Project Dates – A process that primarily impacts campus, Oracle improves control by requiring expenses to be incurred during the project’s period of performance. While this feature reduces our exposure to deficit/overdraft, it may require additional effort to ensure timely recording of expenses when incurred, and management of expense transfers when project extensions are processed. Our teams are working closely with departments to identify the best path forward.
