Financial Information System Project Update: Oracle Planning and Budgeting is Live!
We are pleased to announce that on January 28th, the campus successfully released Oracle Planning and Budgeting. The Oracle Planning and Budgeting system marks another important milestone for UC San Diego and the Enterprise Systems Renewal (ESR) program, with staff across the campus contributing over a year and a half of time and expertise in the business system design. This new system allows the campus to move towards its vision for a comprehensive budget plan delivering a thoughtful design and uniformity across budgeting. The project team continues to listen to campus budget needs and is committed to continually enhance and deliver additional system functionality.
2021-22 BUDGET DEVELOPMENT
With the campus budget development process currently underway, budget preparers are working in the new system with support from subject matter experts and the project team. The 2021-22 Oracle Planning and Budgeting development cycle will deliver initial budgets for the annual campus budget process which begins in late-April with the Phase I tactical budget review meetings. On an annual basis, the campus budget review meetings will consolidate budget data entries from the Oracle Planning and Budgeting system for total budget plan review inclusive of all core, other unrestricted and gift funds budgets. Final approved budget plans will integrate with and seed Oracle Financials Cloud (OFC) budget for fiscal year 2021/22, and will be used for budget to actual monitoring and reporting. TRAINING AND SUPPORT
Transition to the budget tool began in Fall of 2020. All campus budget preparers have now transitioned to the system with training and support well underway. Hypercare system support will continue through the April 5th budget deadline. Please visit the following link for training resources, including the office hours support: Budget & Finance Support. As with all ESR systems, general help inquiries may be submitted via the Service & Support portal.
REPORTING
Monitoring and reporting on budget to actual is an important part of our system launch. The Oracle Budget and Finance reporting team is developing subject area panorama dashboards that will act as single entry point portals for multiple reports and queries to facilitate ease of access for campus consumers. Dashboards allow some custom configurations for users; for example saving default prompt values for fin unit, fund, etc. Please follow this link to preview the brief overview presentation and Budget and Financial Management Reports Panorama at reports.ucsd.edu.
SYSTEM ACCESS
Budget preparers were identified in close partnership with each Vice Chancellor area and were provisioned with system access prior to system release. Please check with your Vice Chancellor area for appropriateness before making new requests for system access. Requests occur via the Service & Support portal using the Oracle and Concur Role Request.
