Enterprise Event and Production Management Project Update: Events and Activities Intake Form 

The Enterprise Event and Production Management Project marked another important milestone for UC San Diego and the Enterprise Systems Renewal (ESR) program with the launch of the new Events and Activities Intake Form in April 2021. At present, limited in-person events and activities for our students, staff and faculty can take place on campus once receiving approval via use of this form.  

To stay up-to-date with current event guidelines, visit Return to Learn to review if your event or activity is currently allowable. Additional details about the event planning process are available on the Campus Events and Activities Portal.  

THE FORM  

The Events and Activities Intake Form is built on the Kuali platform.  This easy to use form will be completed by the event or activity planner and submitted for approval prior to the event or activity. As a department head, advisor, venue manager, or leadership you may receive an email from Kuali asking you to take action on a form.  If you have any questions about this process you can email esr-events@ucsd.edu or check out Campus Events and Activities Portal for more information.  

Currently, this form is required for all in-person and distribution activities to ensure all events and activities are following campus, county, and state guidelines. When completing your Events and Activities Intake form, it is important to provide all relevant details to ensure a timely review.  A three-week lead time before the event is recommended for submission.  

THE EEPM PROJECT  

This form is an important step for the campus to move toward its vision to harmonize the event planning process and approval workflows for campus events. The project team continues to listen to the needs of campus subject matter experts and is committed to continually enhance and deliver additional system functionality.
