The Academic Personnel process is arguably one of the most critical procedures supporting the faculty mission at UC San Diego. It is also among our most labor intensive, complex, and at times, can appear to be opaque. I am therefore pleased to share the launch of Academic Personnel Services’ Academic Review and Appointment Life Cycle webpage and the companion Transparency Dashboard.
As champions of academic integrity and fairness, we recognize the paramount importance of ensuring clarity and accountability in every step of academic evaluation and selection. To that end, key features of the newly instituted webpage resource include:
- Delegations of Authority - Explore detailed listings of UC San Diego’s delegations of authority for the range of academic review processes.
- Academic Review Process Overview - Charts provide a visual representation of an academic file's progress through the review process from inception to conclusion to help candidates and reviewers understand the upstream and downstream movements of academic files.
- School and Department Specific Workflows - The academic review and appointment process is managed using Interfolio’s Review, Promotion and Tenure (RPT) case management system. Within RPT, proposed academic file actions follow a pre-established workflow template that grants reviewers and final authorities access to file materials. Academics who visit the Academic Review and Appointment Life Cycle webpage can see UCSD basic workflow requirements, as well view workflow templates by school, department, action, and delegated authority. Please note the variability of processes is due to differences in departmental bylaws and voting procedures
- File Submission Deadlines and Statistics – Our academic review process works at its most efficient level when materials, recommendations, and files are submitted in compliance with applicable campus review deadlines. The Academic Review and Appointment Life Cycle webpage includes links to campus, school, and committee specific file submission deadlines, as well as deadline compliance statistics for the current 2023-2024 and previous 2022-2023 review years.
- Transparency Dashboard – Using this tool, academic appointees can view their leave and service modification history, review outcome history, current appointment detail (including salary components) and probationary clock information. If the department uses Interfolio RPT (Review, Promotion and Tenure) throughout the review process, appointees can track the status of their in-progress academic review in real time.
