ALL ACADEMICS AFFAIRS AT UC SAN DIEGO

Launching Soon - SSO Alerts for UC Mandated Training

Dear Colleagues,

I am sharing an important update regarding UC Mandated Training Compliance that will soon affect all Academic Affairs faculty and staff. As you may know, the UC Regents are increasingly concerned that all UC employees should complete their mandatory trainings on time.  We have tried various ways to remind faculty and staff to complete the trainings; while most do so on time, the rate of completion still is not at the levels the Regents expect.  Therefore, we have partnered with ITS and a few interested units to test an automatic reminder system, which worked very smoothly, and are now going to expand its use to all of Academic Affairs.

Beginning Monday, Jan. 6, 2025, all Academic Affairs faculty and staff will begin receiving automatic alerts when they log into Single Sign-On (SSO) if they have any outstanding training to complete in UC Learning.

Following this alert launch in January, Academic Affairs faculty and staff will receive the following messages:

UC Mandated Training is due in 14 days:

A reminder will appear in Single Sign On, with the due date and training identified. There will be an option to either go to the UC Learning Center to complete the training or bypass the message and login through SSO. The message will continue to appear at each login until training is complete.

UC Mandated Training is overdue by 30 days or more:

If an employee is within one of the two annual lockout periods — designed to minimize disruptions to instruction — and is more than 30 days overdue in completing required training, they will encounter an intercept screen. This screen will restrict access to all systems except UC Learning, where they can complete their overdue training.  There will be a link to contact ITS to get a temporary exception, if needed.

The lockout periods for 2025 are as follows:

June 21 – July 21, 2025

December 17 - 31, 2025

If an employee is overdue but not within the lockout period, they will not encounter restricted access but will receive more pointed reminders when they log into SSO. We hope this automatic reminder system will help increase rates of completion for important required UC mandated training, consistent with Regental expectations.

If you have any questions, please contact Leo Munduruca at lmunduruca@ucsd.edu.

Thank you for helping us ensure a smooth rollout of this change.
