Dear Colleagues,  

In the past week, you may have received an email invitation to participate in the University of California's fifth systemwide staff engagement survey. The survey was developed by the Council of University of California Staff Assemblies (CUCSA) in collaboration with systemwide Human Resources and Willis Towers Watson, a national firm specializing in workforce opinion survey research.  

The invitation was sent to a selection of approximately 20,000 non-represented staff employees from across the UC system. If you received the survey invitation, I strongly encourage you to participate. It’s a quick survey and it only takes about 15 minutes to complete. The more UC San Diego employees who respond to the survey invitation and share their feedback, the better insight we are able to give systemwide leaders about ways to improve and strengthen the UC staff experience. This year's survey combines questions from past years to allow for a long-term analysis of UC's progress and challenges, with a few new questions designed to capture employees' experiences during a uniquely challenging year.  

Return to Campus  

Return to Campus Support Desk: Between June 1 and September 1, employees will be invited by their vice chancellor and other leaders to gradually return to campus for on-site work. We understand that this represents a significant transition for many and that questions are likely to arise. In support of campus staff, we have established a Return to Campus Support Desk to address questions and provide guidance about returning to campus for on-site work.  

Don’t hesitate to contact the support desk with your questions. Return to Campus Support Desk staff are available Monday through Friday from 8 a.m. - 4 p.m. Contact the desk by phone at (858) 246-3570 or by email at hr@ucsd.edu.  

Transitioning the Workplace: Whether you will be returning to your campus work space for the first time, or you have been working on campus since March 2020, the Faculty and Staff Assistance Program (FSAP) invites you to join a new weekly discussion group to support a healthy return to public life and work together on-site and in hybrid forms. The group is hosted weekly on Tuesdays at 11 a.m. Learn more and register »  

Free COVID-19 Vaccines for You and Your Family: Free COVID-19 vaccines are available to all UC San Diego staff, faculty, students and members of the public (including children age 12 and older) at our on-campus vaccination center at RIMAC, which is open until June 1. Appointments are not necessary; view the walk-up vaccination schedule. You will be able to schedule your second vaccine dose for a different location, including the Price Center, which will soon offer vaccines for students, staff and faculty by appointment only.  

Important Updates for Staff  

2021-2022 Salary Increase for Policy-Covered Staff: Last week, Chancellor Pradeep Khosla announced a 3% general salary increase for policy-covered (non-represented) employees and academic appointees at UC San Diego, as part of the 2021-2022 Salary Program. Read the announcement to learn more »  

Extension to Vacation Overmax Exception: An extension has been approved to allow policy-covered staff employees to continue accruing vacation hours above the maximum accrual amount through September 30, 2021. In other words, this temporary change allows employees additional time to take vacation in order to bring their vacation accrual below the maximum.  

Although an extension has been granted, I strongly encourage all staff to consider scheduling vacation time to rest and relax. It’s more important than ever to prioritize your health and well-being, and taking some time off is a great way to do that. Work with your supervisor and your colleagues to adjust your priorities and delegate tasks while you’re out of the office.  

You can also consider donating vacation hours through the Catastrophic Leave Donation Program, which creates a bank of hours for use by employees facing hardship.  

Two-Step Login (Duo) Now Required for Email Access: UC San Diego email clients now require two-step login (Duo), a more secure way to access systems. Most modern email clients, such as Microsoft Outlook and Apple Mail support Duo two-step login. If you are using these clients, you will now see the DUO prompt when you authenticate. If you are using an older client, you will need to upgrade to a supported client. Learn more about how this change may affect you »  

Booking Employee Travel: Restrictions on travel for UC San Diego employees have been removed. In addition to following CDC guidance, travelers should book official university travel for employees, visitors, and guests via UC San Diego’s booking site, Concur.ucsd.edu, to ensure they receive critical information about their destinations, automatically register for UC’s Traveler Insurance, protect travel funds and facilitate efficient trip reconciliation upon return.  

On the Horizon: Dates and Deadlines

Celebrate Our Graduates and Volunteer at Commencement: On Saturday, June 12 and Sunday, June 13, UC San Diego will host ten distinct undergraduate and graduate commencement ceremonies for the class of 2021. We are honored to welcome UC San Diego alumna, principal at Black Futures Lab and co-founder of the Black Lives Matter Global Network, Alicia Garza ’02, who will deliver a recorded keynote address. Volunteers are needed to make this extraordinary event happen. If you are interested, complete this form to sign up for one or more shifts.
